General terms and conditions

Booking of Meeting Rooms and Meeting Packages at CityMeetings is via online booking or telephone inquiry.

Payment Types (Payment Method is selected in the booking process)

• Dankort: It is free to pay with Dankort. Payment must be made within 48 hours of booking.
  If you do not pay when you book, you need to log in to your booking account and complete payment within 48 hours of booking.
  If there are less than 8 days to your meeting event, payment must be made within 2 hours!
  If you cancel within the deadline under our terms, the amount will automatically be refunded to the Dankort paid.

• MobilePay: It’s also free to pay online with MobilePay. Payment must be made within 48 hours of booking.
  If there are less than 8 days to your meeting event, payment must be made within 2 hours!
  If you cancel within the deadline of our terms, the amount will automatically be returned to the MobilePay number paid from.

• Foreign Credit Cards: Transaction fee for company credit cards is equal to our costs from NETS. Private credit cards has no transaction fee.
  Payment must be made within 48 hours of booking.

• Invoice: Company customers can pay by card online or by separate invoice for payment.
  Unless you have a B2B company agreement with SuperEvent, the payment period will be 5 days from booking, however, bookings with less than 3 weeks to settlement date must be paid within 2 days.
  An administration fee of kr. 200, – incl. VAT will be added. Administration fee is not refundable upon cancellation.

• EAN / Electronic invoice: You can also pay via EAN number & electronic invoice, which will be sent electronically to you.
  The payment deadline will be as soon as possible and will follow the conditions for each municipality / region etc.

• If you do not pay in time, your booking will be deleted.
  Contact us for an agreement on special payment terms, if the total booking amount exceeds kr. 5000, -.

Cancellation

According to the “Law on Certain Consumer Agreements Section 17 2 cf. § 9 paragraph. 2 No. 2a “is the purchase of entertainment events NOT covered by the right of withdrawal.

Special conditions regarding cancellation or change of time:

Bookings made less than 3 weeks prior to event date are binding and can not be canceled or changed without charge.
Cancellation of booked time must be made online to your account within 21 days before the event (it is NOT enough to call / write with a cancellation).
In case of cancellation 7-21 days before the event, a fee of 25% of the invoice amount will be paid (minimum 500, – in administration fee).
In case of cancellation 1-3 days before or on the same day as the event is booked, the entire invoice amount is retained.

If you wish to change or delete your booked time under current terms, please do this by logging into your account in our booking system and making the changes yourself.

Special conditions for cancellation of larger orders:

Bookings made less than 3 weeks prior to event date are binding and can not be canceled or changed.
For orders over DKK 5,000, – additionally, cancellations must be made no later than 5 days after confirmation of booking, otherwise 50% of the invoice must be paid.
For orders over DKK 5,000, – additionally, cancellation must be made within 21 days before the event, otherwise the entire invoice amount will be retained.

Support regarding booking:

If you want to make a booking with less than 2 days for the event, it is not possible to book online online and therefore please write an email or call our booking office on phone: 3871 1717

If you need to put together a program or you can not find available times in the online calendar, you are always welcome to contact our customer support in our office hours, which is all weekdays. 10-16, on phone: 3871 1717. Gift card:

Gift certificates have a validity of 3 years from issue. There is no right of withdrawal on gift card purchases.
